I. Summary
The person in this position reports to a senior staff member (Associate Director of Residential Programs, Community Standards Coordinator, Quad Director), and works in support of one of the 15 primary functions of the Department of Residential Programs. In addition, the person in this position will provide administrative support to the senior staff and establish non-supervisory functional relationships with quad/office personnel, maintenance and custodial supervisors, and residence hall directors.
This is a twenty-hour per week, twelve-month position, from June 1st, 2009– May 31st, 2010.
The position requires full-time enrollment in a graduate program at Stony Brook University. Every applicant must meet our graduate GPA requirement of 3.0, and be in good judicial standing.
II. Compensation
-
Bed-waiver usually for one bed-room apartment or a premium suite. A refrigerator and microwave will be provided in the suites. Note: QA/AC will also receive a stipend of $75 per week, if the room assignment is a single room in a shared apartment. Also, if you live in a premium room you will have $300 placed on your meal card per semester.

Vacation days are spring break week and December 25th to January 1st holiday week.
III. Outline of Quad Assistant/Assistant Coordinator Responsibilities
A. Administrative Support Responsibilities:
- Meet weekly with supervisor;
- Work toward completion of assigned projects;
- Provide administrative support for academic initiatives such as Undergraduate College, Living Learning Center, Peer Education, programming, etc;
- Coordinate tasks in the office.
B. The QA/AC will work in support of the functions and responsibilities of one of the following departmental committees or one of the programming areas:
1. Quad Assistants
Community and Citizenship
-
Assist with coordinating service-based and philanthropic initiatives in the residence halls; including: ‘Tis the Season, Habitat for Humanity, World AIDS day, Heifer Project, Residential Blood Drives;

Assist with coordinate residential involvement in campus service activities including but not limited to: Stony Brook Day in Albany, Student Giving Campaign, The Cody Center Walk, Voter registration, Recycle Mania;
-
Help develop a social justice programming model to be implemented in the department;
-
Assist in Quad Office operations;
-
Hours of responsibility primarily from 9:00am-5:00pm (20 hours total).
Leadership
- Assist with the coordinate implementation of the Leadership Development Plan – including pre service and in-service leadership training and development activities, ongoing leadership training for special groups (Hall Council RHA, Emerging leaders, etc.)
- Help provide training to the advisors of RHA, NRHH, and Hall Councils;
- Serve as a liaison to the Undergraduate Student Government.;
- Assist in recognizing leadership and involvement through the Hall Council appreciation, annual leadership awards ceremony and reception and other on-going activities;
- Assist in Quad Office operations;

Research and Assessment

Assist with the distribution, collection, and analysis of campus life surveys;

Help the coordinator for classroom facilities in the quad;

Assist with the setup of classrooms and equipment;

Help report and follow up on class facility issues and needs;
-
Help supports faculty and staff for instructional support needs;
-
Assist with collecting data and creating reports on programming information;
-
Serve on Research and Assessment Committee;
-
Assist in Quad Office operations;

Student Success

Help coordinate recognition of academic achievement for resident students through the Academic Achievement Banquet;
-
Help coordinate intervention initiatives targeted towards “at risk” students, including but not limited to the mid year student success meetings;

Assist with the development of residential academic achievement initiatives;
-
Assist in Quad Office operations;
-
Other special duties as assigned;

Student Staff Recruitment and Selection
- Help manage the recruitment, interviewing, selection, and placement process for RAs;
- Help coordinate the re-application and transfer process for RAs;
- Help maintain student staff files and regular bed waiver updates;
- Help coordinate summer and winter applications and position;
- Assist in Quad Office operations;
- QA hours of responsibility primarily from 9:00am-5:00pm (20 hours total).
Student Support Staff
- Help develop and implement action for QA/AC marketing;
- Help with the recruitment and placement process of OA/QA/AC staff;
- Help maintain OA/QA/AC files and data system;
- Help plan the OA/QA/AC training and development programs;
- Help develop and implement the Fall and Spring OA/QA/AC evaluation process;
- Assist in Quad Office operations;

Student Staff Training and Development

Help develop and implement a comprehensive approach and plan of action for RA training and development;

Help plan the August RA training program, and assess the effectiveness of staff training programs;

Help develop and implement the Fall and Spring RA in-service program;
-
Help conduct the annual RA conference;
-
Help coordinate new student staff member mid-year training;
-
Help coordinate the fall semester and end of year RA recognition activities;
-
Assist in Quad Office operations;

Weekend Life
- Serve as committee member to help coordinate events that promote weekend life on campus;
- Serve as liaison to other university groups and departments affiliated with promoting weekend life;
- Coordinate resident student focused events for Holidays and Intersession (Thanksgiving, Winter Break, Spring Break, etc);
- Assist with marketing of events sponsored by committee;
- Assist in Quad Office operations;
- Assist with academic integration initiatives (Undergraduate College, Living Learning Center);

2. Assistant Coordinators

- Reinforce written policies and procedures for operations and programmatic efforts, particularly relating to civic responsibility;
- Assist Coordinator of Community Standards with LEVEL II Hearings;
- Assist with general operations of Community Standards Office and Campus Residences Central Office;

AC hours of responsibility primarily from 9:00am-5:00pm, some nights and weekend(20 hours total).
Data Analyst
The individual selected will be enrolled in a full time Graduate Program at Stony Brook, preferably in an area that provides a concentration in data forecasting, data analysis and projecting. The individual will report to the Assistant Director for Housing Administration and will be responsible for:

Preparing demand projections for new and returning housing applicants (undergraduates and graduates) for the current application cycles;
-
Forecasting occupancy projections for current and future academic years considering variables such as planned University enrollment targets and past demand levels;
-
Analysis of application data to identify at risk target groups and to help make recommendations for better meeting the needs of these groups;
-
Assisting in developing revenue projections based on various demand models;
-
Generating routine queries and reports that will assist in the housing assignment and management processes;
-
Assisting in the training of staff in data management and data tracking to ensure reliability of data;
-
Support general operation in Campus Residence Central Office;
-

Marketing and Public Relations
- Assist in the coordination and implementation of major University recruitment initiatives including Open Houses, Admitted student receptions, on-going campus tours, etc.;
- Participate and maintain a visible presence at major University events in an effort to promote campus living;
- Help coordinate and facilitate presentations and tours for targeted academic and administrative areas of the campus to raise awareness of and promote campus living;
- Help develop routine internal and external communications to aggressively market campus housing and programs to both current and prospective residents;
- Help coordinate the marketing of the annual Room Selection (contract renewal) Process;
- Help coordinate staff guidelines for opening, closing, and breaks;
- Support general operation in Campus Residences Central Office;

NRHH/RHA
- The Assistant Coordinator for RHA/NRHH will report directly to the RHA/NRHH Advisor under direct supervision of the Leadership Development Committee Chairperson;
- Attend weekly one-on-one meetings with RHA/NRHH Advisor;
- Assist with the development of RHA/NRHH;
- Support and attend national and regional conferences ;
- Assist in the coordination of fundraising and programmatic efforts sponsored by RHA/NRHH;
- Provide support for RHA/NRHH/LEG Trainings and In-services;
- Assist with the advisement of the RHA Executive Board;
- Provide feedback regarding all aspects of RHA/NRHH/LEG via the annual report.
Professional Staff Personnel Assistant
This individual will assist with Professional Staff Recruitment efforts through out the academic year. Special emphasis will be placed on the Spring Semester, as this is a major time for recruitment. This individual will be a member of the Professional Staff Recruitment/Personnel Committee. This position reports to the Coordinator of Community Standards.
- Review and screen resumes of applicants;
- Conduct phone interviews and reference checks;
- Coordinate interview day itineraries;
- Coordinate welcome and preparation for all new staff;
- Coordinate new employee paperwork (offer letters, business cards);
- Work closely with the Professional Staff Recruitment chair on marketing strategies (recruitment posters, brochures, website);
- Assist in coordination of summer employment, intern recruitment, selection and assignments for ACHUHO-I, NASPA MUFP, and others as relevant;
- Support general operation in Campus Residences Central Office;
- AC hours of responsibility primarily from 9:00am-5:00pm (20 hours total).
Programming Resources
- Help manage the programming resources room, including but not limited to monitoring and ordering supplies; managing the facility;
- Help manage programming files, and check in /out equipment, etc.;
- Help create and distribute monthly staff support newsletters and updates;
- Assist with providing programming advice to the RAs;
- Hold office hours in the programming resource room during the hours it is open;
- Create bulletin boards, canned programs and other resources for assisting RAs with programming;
- Develop a programming resources sector on blackboard;
- Co-advise the RA Council;
- AC hours of responsibility include weekdays, and some weekend and night times (20 hours total).
Residential Tutoring Center
- Advertise and promote the Residential Tutoring Centers campus-wide;
- Recruit, select, train, and supervise 12 tutors, 3 on-site assistants, and physically monitor the tutoring centers periodically, including individual and group meetings;
- Act as liaison between the Quad Director advisor and tutors;
- Compile weekly feedback reports that get sent to the Quad Director;
- Solicit help from teaching assistants to do periodic exam review sessions in the RTC’s;
- Assist in direct tutoring as necessary;
- AC hours of responsibility are mostly week nights with occasional weekday meetings (20 hours total).
